Privacy Policy
Last updated: 23 December 2025
Welcome to InstaSign (hereinafter referred to as the "App"). We highly value the protection of your personal information and privacy.
This Privacy Policy explains how we collect, use, store, share and protect your personal information, and what rights you have.
Before using the App, please read and fully understand this Policy.
Important Notice: The App is an offline application. All personal information (including but not limited to
the name or code used to identify a person, personnel ID, user images, face feature data generated from these images, attendance records, etc.)
is processed and stored only on your device and is not uploaded to any servers owned by the developer.
The App only uses network permissions in very limited scenarios, which are described in the "Permission Usage" section below.
The App does not require you to register or log in to any account, nor will it create any online account for you.
What you manage within the App is only a local personnel list used for attendance management, and not an account system for login.
1. Scope of Application
This Privacy Policy applies to your use of the App on iOS devices and the functions and services it provides, such as attendance check-in, face recognition attendance, and data import/export.
2. Information We Collect
Explanation of "Collection": The App collects personal information mainly through your active operations on the device
(such as taking photos, registering faces, importing Excel/CSV files, and performing check-ins). All relevant data is processed and stored locally on your device.
The App is an offline application and does not upload your personal information to any servers owned by the developer.
During your use of the App, we may locally collect the following information in accordance with the principles of legality, legitimacy and necessity:
-
2.1 Basic personnel information: This includes the name or code used to identify a person, and an ID used to distinguish different individuals.
The above name/code and ID are fully defined and maintained by the customer who uses the App, according to their own business needs.
We cannot know what these fields actually mean in your specific business or which internal fields they correspond to.
This information is used only to locally identify and distinguish personnel for attendance purposes and is stored on your device.
-
2.2 Face information (user images and biometric features): To enable face recognition attendance, the App will, after you grant camera permission,
capture and locally store your face images (used to maintain the local face database), and locally generate face feature data based on these images
for local face comparison and identity verification.
These face images and face feature data are processed and stored only on your device and are not uploaded to any server.
Detailed explanation of face data collection:
- Types of face data collected:
- Face images: Captured when you register a face in the local face database, take photos for check-in, or select photos from your photo library. These images are used to maintain and update the local face database.
- Biometric feature vectors: Mathematical representations (feature vectors) extracted from face images using face recognition algorithms. These feature vectors are used for identity verification and face matching, and cannot be used to reconstruct the original face image.
- Collection scenarios: Face data is collected only in the following scenarios:
- When you actively register a face in the local face database (by taking a photo or selecting from photo library)
- When you perform face recognition check-in using real-time video, camera photo, or photo library selection
- When you import face images through Excel/CSV import function
- Processing location: All face data processing (including face detection, feature extraction, and matching) occurs entirely on your device. No face data is transmitted over the network or processed on external servers.
-
2.3 Attendance record information: This includes check-in time, check-in result (success/failure), and shift information, etc.
Such information is used to display and export attendance reports and is stored only on your device.
-
2.4 File import/export information: When you use the Excel/CSV import or export function, the App will read and write the files you select,
which are usually stored on your device or in a cloud drive/storage location of your choice. During import, if an Excel/CSV file contains
image URLs (network links), the App will, when you perform the import operation, send a request to the server hosting the URL to download the images
for building or updating the local face database.
In this process, the App only downloads image files and does not upload any locally stored data (such as face features, attendance records or Excel content) to any server.
3. How We Use Information
We collect your information mainly to provide, optimize and secure the App's functions and services locally on your device, including but not limited to:
- Enabling core features such as face recognition attendance and real-time check-ins locally on your device;
- Generating, displaying and exporting attendance records and statistical reports locally on your device;
- Providing a localized user experience based on your language and time zone settings;
- Using the information for other specific purposes with your consent or when permitted by applicable laws and regulations.
All use of your information takes place locally on your device and does not involve uploading your personal information to any server.
Detailed explanation of how face data is used:
- Specific use scenarios:
- Real-time video check-in: When you use the real-time video check-in feature, the App continuously detects faces in the video stream, extracts face features, and compares them with faces in the local face database to identify and verify identity.
- Photo check-in: When you take a photo for check-in, the App detects faces in the photo, extracts face features, and matches them with the local face database.
- Photo library check-in: When you select a photo from your photo library for check-in, the App performs face detection and matching on the selected photo.
- Data processing workflow:
- Face detection: The App uses face detection algorithms to identify and locate faces in images or video frames.
- Feature extraction: For each detected face, the App extracts a biometric feature vector (a mathematical representation) that uniquely represents the face's characteristics.
- Similarity comparison: The extracted feature vector is compared with feature vectors stored in the local face database to calculate similarity scores.
- Identity verification: If the similarity score exceeds a threshold, the face is matched to a person in the database, and an attendance record is generated.
- What face data is NOT used for:
- Face data is NOT used for analysis, training machine learning models, or improving algorithms.
- Face data is NOT used for advertising or marketing purposes.
- Face data is NOT used for any other commercial purposes.
- Face data is NOT transmitted over the network or used for any purpose requiring network transmission.
- Face data is NOT shared with third parties, analytics services, or any external services.
4. Permission Usage
To provide certain functions, we may request the following system permissions at runtime. If you refuse to grant certain permissions, the related features may not work properly, but you can continue to use other features that do not rely on those permissions.
-
4.1 Camera permission:
Used to take face photos and perform face recognition and attendance check-ins. If you do not grant this permission, face recognition attendance will not be available.
-
4.2 Photo library / Files permission:
Used to select photos from your photo library or to import/export Excel/CSV files related to attendance.
-
4.3 Network permission:
The App only uses network access in the following scenario: when you use the Excel/CSV import function and some personnel photos are provided as image URLs in the file,
the App will, during the import, send requests to those URLs to download the corresponding image files for building or updating the local face database.
In this process, the App only downloads image files and does not upload any locally stored data (such as face features, attendance records or Excel content) to any server.
If you refuse to grant network permission, you will not be able to import Excel/CSV files that contain image URLs, but other features will not be affected.
-
4.4 Notification permission (optional):
If enabled, this may be used to send you attendance-related reminders (such as check-in reminders), depending on the actual features of the App.
5. Information Storage and Security
-
5.1 Storage method: All face feature data, attendance records and personnel information are stored locally on your device
or on local storage media designated by you (for example, when you export files to a cloud drive or storage location of your choice).
The App does not store your personal information on any server.
-
5.2 Retention period: Your personal information will be kept on your device until you actively delete the relevant data or uninstall the App.
You can delete your face information, attendance records and other data at any time via the deletion features provided by the App.
-
5.3 Security measures: We take reasonable and feasible measures to protect your information from loss, misuse, unauthorized access or disclosure,
including but not limited to permission control and iOS system-level data protection. Data storage relies on iOS file encryption mechanisms, which automatically encrypt data when the device is locked. As data is stored on your device, we recommend that you
properly protect your device and set a device password or biometric lock.
